Problem statement
Xero review usually starts from the bank statement line, while Shopify explains the cash movement through payout rows, fees, refunds, adjustments, reserves, and payout status. If you accept the bank line or connector summary before the payout support is clear, the deposit can look matched while the payout logic is still weak.

Why the numbers do not match
- Xero bank reconciliation sees the net statement line, not the gross Shopify order total.
- Shopify payout details can reduce the deposit through fees, refunds, adjustments, or reserve-style rows before the cash reaches the bank.
- Payout status and bank arrival timing can differ from the original order date.
- One payout can cover many orders, while some non-Shopify gateways may sit outside the Shopify Payments payout entirely.
- Connector-created summaries or manual entries can duplicate or oversimplify the payout if the export review is skipped.
What files to export
- Shopify payout details export with payout ID, status, payout date, transfer reference, gross, fees, refunds, adjustments, reserves, and net amount.
- Shopify orders export with order number, paid date, payment method, gross sales, and refund detail behind the payout.
- Xero bank statement or bank feed export with statement date, amount, and description for the deposit being reviewed.
- Optional connector or invoice export when you need to check whether Xero already contains a duplicated or oversimplified entry.
Reconciliation workflow
- Start from the Shopify payout ID, payout status, transfer reference, and net amount before you accept the Xero bank match.
- Keep the Xero statement line open when the payout status is pending, delayed, failed, or otherwise not yet final.
- Separate gross sales, refunds, fees, adjustments, and reserve-style rows inside the payout support.
- Compare the expected net payout to the Xero bank statement line by amount, date, and transfer reference where available.
- Use the Shopify orders export only to explain what sits behind the payout after the payout-level cash movement already makes sense.
- Check whether Xero already contains a connector-created summary or manual entry that duplicates the same payout evidence.
- Retain the reviewed payout report before any Xero bank rule, reconciliation click, or downstream bookkeeping handoff is treated as final.
Review checks
- The Xero bank line was accepted from amount alone without the Shopify payout support.
- Gross Shopify sales were compared directly to the Xero statement line.
- Payout status or transfer reference was ignored before the bank match was called final.
- A connector summary or manual entry in Xero duplicated the payout that was already being reviewed.
- Orders from another gateway were mixed into the Shopify Payments payout explanation.

Should I start from Shopify orders or from the payout inside Xero review?
Start from the payout. Orders are supporting detail, but the Xero-side bank line usually matches the net payout after deductions, timing, and payout-status review.
What if the Xero amount looks right but the payout date or reference does not?
Keep it in review. A delayed payout, bank-processing lag, or weak transfer description can make the amount look correct before the payout evidence is actually strong enough.
Does Reconcile Locally clear or post the Xero bank transaction?
No. It prepares a review-ready report from exported files. Clearing, posting, and approving accounting entries remain separate human workflows.
