Problem statement
QuickBooks sees the net bank deposit, while Stripe spreads the explanation across payouts, balance transactions, refunds, disputes, adjustments, and timing. Without payout-level support, a deposit can be cleared with the wrong fee, refund, or open-item story.

Why the numbers do not match
- QuickBooks bank feeds usually show only the net deposit that reached the bank.
- Stripe balance transactions hold the payout composition: charges, fees, refunds, disputes, and other adjustments.
- Payout status and arrival timing can make a valid Stripe payout look missing inside the QuickBooks review window.
- One payout can group many charges and non-charge deductions into one bank movement.
- A bank-feed match can clear cash before the payout evidence is fully reviewed.
What files to export
- Stripe balance transactions export with payout ID, type, amount, fee, net amount, and timing fields.
- Stripe payouts export with payout ID, status, arrival date, Trace ID or bank-reference details when available, and net payout amount.
- QuickBooks bank export with the bank deposit rows being reviewed or matched inside the bank feed.
- Optional orders or invoices export when customer-facing references are needed behind the Stripe charges.
Reconciliation workflow
- Identify the Stripe payout ID, payout status, arrival date, and expected bank movement that should explain the QuickBooks deposit.
- Group Stripe balance transactions by payout ID and separate charges, fees, refunds, disputes, and adjustments.
- If the payout status is pending, in transit, failed, or otherwise unresolved, keep the QuickBooks bank side open until the Stripe payout support is clearer.
- Compare the grouped net amount to the Stripe payouts export before you compare it to the QuickBooks bank row.
- Match the supported payout to the QuickBooks bank deposit by amount, date, and Trace ID or bank reference where available.
- Keep unsupported shortfalls as amount differences until the exported files prove the exact cause.
- Retain the reviewed payout report before any QuickBooks entry is cleared, edited, or approved.
Review checks
- The QuickBooks deposit was accepted from the bank feed without Stripe payout support.
- Gross Stripe charges were compared directly to a net QuickBooks deposit.
- Refund, dispute, or adjustment rows belong to a different payout period than the bank row under review.
- Payout status or arrival date was ignored before the bank match was called final.
- QuickBooks contains duplicate deposits or prior manual entries for the same Stripe payout.
